    Guard-tour and patrol apps are good at checkpoints, incident reports and panic alerts, but usually have no payroll, compliance or invoicing. Generic HRMS and payroll SaaS handles salary slips, leave and statutory filings for office staff, but lacks sites, contracts, man-day billing and payroll windows per client. A configurable operations platform connects contract, attendance, payroll and invoice on one ledger, but requires a proper setup of masters in week one.

    The 12-point checklist

    Ask every vendor to demonstrate — not describe — different payroll windows per site; fixed-26 and actual-day bases; extra duty; the EPF ₹15,000 ceiling; state-wise PT and LWF; one approved attendance source; man-day, man-hour and man-month billing; GST and state invoice series; post-payment amendments; GPS and face attendance; uniform issue and recovery; and role-based approval with an audit log.

    Score each test from zero to two. A score of 20 or more is a strong fit; 14–19 is workable with spreadsheets on the side; below 14 means you will probably be looking again next year.

    Pick ten sites that represent the hardest cases. Load their contracts and one month of attendance. Run payroll and invoices in both the current process and the new system. Compare every site to the rupee — salary, PF, ESIC, PT and invoice total. Decide on evidence, not demos.
