Why this industry needs its own operating system
A security or manpower company looks simple from the outside: supply trained people to client sites, pay them, bill the client. Inside, it is one of the most operationally dense businesses in India. Every guard has a site, a shift, a designation and a contract rate. Every site has its own payroll window, billing model and client rules. Every state has its own Professional Tax and Labour Welfare Fund schedule. And every month, all of it has to reconcile — attendance to salary, salary to statutory deposits, attendance to invoice — before anyone is paid.
Most agencies run this on a patchwork: attendance in Excel or on paper, payroll in a separate tool, invoices in Tally, uniforms in a register, and field officers on WhatsApp. Each hand-off is a place where money leaks — a guard paid for days he didn't work, a site billed for fewer days than were worked, a PF challan that doesn't match the payroll.
Clients, sites and contracts
Everything starts with the contract. Each contract carries designation-wise pay components, billing rates, duty hours, the billing model — man-days, man-hours or man-months — and which statutory heads apply. Change a rate once and every downstream calculation follows.
People, from first scan to exit
Field officers onboard candidates on their phone in a ten-step flow. Aadhaar is verified through DigiLocker and PAN against Income Tax records, and verified details fill the form automatically. A duplicate Aadhaar never creates a silent second record — it routes into a rehire approval chain instead.
Attendance that payroll can trust
Muster rolls follow each site's own payroll window, not the calendar month. Guards mark attendance by GPS and face photo only within a set distance of their site; supervisors can photograph a paper sheet and have it read automatically. Once a sheet is approved it locks — and it becomes the only input payroll and invoicing accept.
Payroll, compliance and invoicing on one ledger
Payroll computes earnings, EPF with the ₹15,000 wage ceiling, ESIC, state-wise Professional Tax and LWF, and every employer contribution — then posts each line to its ledger. Invoices draw from the same approved attendance, apply CGST/SGST or IGST by state, and take a number from the billing state's series that can never be reused.
Uniforms, fleet and the field
Uniform stock moves from vendor to warehouse to field officer to guard, and each handover to a guard is confirmed by OTP. On exit, the field officer recovers the kit before the exit is final. Field officers themselves are visible on a live map, their site visits are rated by clients, and their daily kilometres are recorded for travel reimbursement.
The principle that holds it together
Most errors in this industry are not calculation errors. They are copy errors: the attendance that went to payroll was a different version from the one that went to billing. Hyper Ops removes the copies. If attendance changes after payroll is paid, it is amended as version 2, and payroll posts only the difference as arrears or recovery — nothing already paid is silently rewritten.
